Cancellation and Refund Policy

Introduction:

    We at ISHWMCON 2024 value your participation in our event and strive to provide a seamless experience for all attendees. In order to maintain fairness and transparency, we have established the following cancellation and refund policy, which applies to all participants, including those attending the pre-conference workshops, the main conference, and those submitting papers or posters.

No Refunds Policy:

    Once a participant registers for ISHWMCON 2024, the registration fees, whether for the pre-conference workshop, main conference, or any associated activities, are non-refundable. This policy applies regardless of the payment method used, including credit cards, bank transfers, or third-party payment services.

By registering for the event, you agree and acknowledge that:

    All payments are final. Once your registration is confirmed, we will not issue any refunds, cancellations, or reimbursements under any circumstances.
    Transfer of registration: If you are unable to attend the event, we do allow the transfer of your registration to another individual. The deadline for registration transfer requests is 30th October 2024. All transfer requests must be submitted in writing to ishwmcon2024@gmail.com, and will be considered on a case-by-case basis. No transfers will be accepted after this date.
    Reasons for Non-Refundable Policy Our non-refund policy is structured to cover the costs incurred in organizing a large-scale event such as ISHWMCON 2024. This includes, but is not limited to, venue booking, speaker arrangements, conference materials, and logistical planning. Since many of these costs are non-recoverable, it becomes necessary to enforce a no-refund policy once a participant has registered.

Additionally:

    • The number of attendees and registered participants significantly impacts our event planning, such as seating arrangements, catering services, and workshop capacity. Last-minute cancellations disrupt our ability to provide the highest level of service to other participants.
    • Processing refunds involves administrative costs, which we aim to minimize in order to keep registration fees as low as possible for all participants.

Event Cancellation by ISHWMCON 2024

    In the rare event that ISHWMCON 2024 is cancelled due to unforeseen circumstances beyond our control (such as natural disasters, global pandemics, or governmental regulations), ISHWM will not be held liable for any direct or indirect losses incurred by participants, including travel expenses or accommodation. However, should the event be rescheduled to a later date, participants will have the option to either transfer their registration to the new date or transfer it to another individual without any additional charges.

Exceptions:

    Although our refund policy is strict, we understand that personal circumstances may sometimes change unexpectedly. If you are unable to attend ISHWMCON 2024 due to a medical emergency or other extreme circumstances, we encourage you to contact us at ishwmcon2024@gmail.com. While we cannot guarantee a refund, each request will be carefully reviewed. Any decisions regarding exceptions will be made at the sole discretion of the organizing committee.

Processing Time for Refunds (Only in Special Circumstances)

In the rare event that a refund is granted due to exceptional circumstances, please note the following:
    • Refund requests must be submitted in writing via email to ishwmcon2024@gmail.com.
    • If approved, refunds will be processed within 30 business days. Refunds will be issued using the original payment method.
    • Any refunds processed will be subject to a 10% administrative fee, which will be deducted from the total amount.

Modification of Registration Details:

    If you need to update any of your registration details (such as name changes for certificates, workshop selection, or attendance confirmation), we request that you do so before 1st November 2024. Any modifications after this date may not be possible, as materials and logistical arrangements will be finalized.
